Membership Terms & Conditions – Gym Co Belfast

Definitions 

1.1 Gym Co: We or Us – The trading name of Gym Co Belfast.

1.2 Member or You – Active membership holder at Gym Co Belfast

1.3 Club: Any Gym Co location

Membership

1.4 By purchasing a membership, you agree to comply with these Terms & Conditions. We reserve the right to make changes where necessary to these terms during the duration of your membership.

1.5 You agree to provide us with your most up to date personal and contact information where it will be stored safely and securely in line with our privacy policy. It is the member responsibility to update us of any changes.

1.6 You will only be permitted access to the club where your membership is active and remains fully paid or you have made a reasonable payment plan to repay missed fees.

1.7 By accepting these terms and conditions you agree that entry will only be granted to the club via the QR code within the Smartphone App which is swiped at reception.

1.8 Member photographs are used for security purposes only. You agree to upload your own photo or have one taken in club at the time of joining.

1.9 We reserve the right to refuse access, cancel or terminate a membership at any time for reasons not to be given.

1.10 Memberships can only be sold to those aged over 18. Under 18’a must have parental/guardian consent.

1.11 We may increase membership fees at any period. In such cases we will write to you via email a minimum of 30 days in advance. If you are still within your contracted period, you may cancel your membership with immediate effect.

Commitment Period

2.1 You agree to uphold the minimum number of payments required as set out in the membership type upon joining.

2.2 After the minimum commitment period has passed your membership will continue to be collected each month at the amount applicable to your membership at that time until you instruct us otherwise.

2.3 If you wish to cancel you must provide 1 x calendar months’ notice and follow the procedure set out in Section 4.

2.4 1 Month Flexi memberships do not have a minimum commitment period however we do require a minimum of 7 days’ notice to cancel. These cancellations must follow the procedure set out in section 4. For example, if your Direct Debit is collected on the 1st July, we must have received your request to cancel by 23rd June.

2.5 Paid in Full Memberships – At the end of the membership period your membership will automatically expire.

Direct Debit Dates & Late Payment Charges

3.1 Where we have been unable to collect your membership fee by Direct Debit there will be a £15 late payment fee applied to your account.

3.2 Direct Debits will be collected on the 1st working day of each month.

3.3 Should your direct debit fail to be collected on the 1st collection date, we will attempt to collect again 10-15 days later.

3.4 Missed membership fees can be paid in club, online or via phone.

Membership Termination

4.1 Cancellation requests must be made in writing and sent to our designated cancellation email: cancellations@gymbelfast.co.uk

4.2 Cancellation requires 1 x calendar months’ notice. For example, if you request a cancellation between the 2nd and 30th of June, your final Direct Debit will collect on the 1st of July where you will have access until 31st July. If you request a cancellation on the 1st of July, your final Direct Debit will be collected that day.

4.3 We do not accept cancellation requests via phone or social media.

Cooling Off Period

5.1 You have 14 days inclusive from the date you join to cancel your membership with immediate effect. Any fees you have paid to start will be refunded to you.

Early Cancellation Requests

6.1 If you have had a change of personal circumstances since you joined, we may consider a cancellation within your contracted period. These include but are not limited to:

      6.1.1 Relocation – your home or principal place of employment has changed to further than 10 miles from your nearest Gym Co location.

      6.1.2 Medical – you have suffered an injury or have become ill and have been advised to refrain from exercise.

      6.1.3 Pregnancy

      6.1.4 Financial – you have suffered job loss or have entered financial difficulty and are unable to keep up with the membership payments.

6.2 If any of the above apply to you, we ask that your cancellation request is sent via email to cancellations@gymbelfast.co.uk along with appropriate supporting evidence i.e., proof of new address, medical letter, MATB1 etc.

6. 3 1 x full calendar month notice is required.

6.4 If you are unable to provide supporting evidence your membership will be closed at the end of your contracted term.

Membership Suspensions

7.1 Should you wish to take a break from your membership you can request to suspend for a maximum period of 6 months.

7.2 There will be a charge of £5 per month which will be collected by direct debit on your normal billing date.

7.3 A minimum of 10 days’ notice is required should you wish to suspend. For example, if your membership is collected via Direct Debit on the 1st of July. We must have received your request to suspend by 21st June.

7.4  If you pay your membership in advance the £5 suspension fee must be also paid in advance i.e., 3 x months freeze @ £5pm = £15 which can be paid to us via cash or card.

7.5  Where you need to suspend your membership due to ill health or injury, we will offer the suspension free of charge on production of supporting medical evidence.

7.6  Maximum suspension period for pregnancy is 9 months.

Closure of Facilities

8.1 There may be times where we must close certain areas or remove pieces of equipment from use. This is to ensure that required maintenance can take place. We will make every possible effort to reduce any period of closure or disruption to services.

Club/Gym Etiquette

9.1 By agreeing to these Terms & Conditions you agree to always conduct yourself in an appropriate manner and be considerate to other members.

9.2 All equipment must be used for its intended purpose and returned to its racks/storage after use. Equipment is not to be left on the floor.

9.3 Weights are not to be dropped onto the floor.

9.4 Cleaning materials will be provided for you to clean equipment after use.

9.5 Appropriate clothing and footwear must be always worn.

9.6 Personal belongings must be kept in the lockers provided, not on the gym floor.

9.7 Photography is strictly prohibited in the changing and spa areas.

9.8 If you are unsure how to use a piece of equipment, please ask a member of staff for assistance.

9.9 Guests can accompany you at a cost of £12. Day passes are available to purchase online.

Complaints

10. If you feel like we have not met your service expectations for any reason please speak to a member of staff. Any complaints left unresolved will be passed to the Club General Manager who will aim to resolve and respond to you within 5 working days.

Membership Bolt Ons

11.1 Membership bolt ons will give you access to services/facilities not otherwise covered by a standard membership.
 
11.2 Bolt ons must be purchased in addition to a standard membership and cannot be purchased separately. 
 
11.3 Bolt on cancellation requests should be made in writing to our designated cancellation email - cancellations@gymbelfast.co.uk. We require 7 days notice in advance of your direct debit to cancel.
